Festival Coordinator

A position at The Community Art Center, Inc.

The coordinator is responsible for overseeing all aspects of the Youth Arts Festival.

Hours: 32 hours/week

Title: Festival Coordinator
Reports to: Media Program Director, Development and Events Coordinator
In collaboration with: Media Program Staff, Teen Media Program Participants, Festival Advisory Committee, Youth Festival Advisory Committee

Responsibilities:
PERSONNEL
• Assemble and manage the festival volunteer force
• Maintain relationships/ contacts with prior vendors that have donated services or goods
• Establish new relationships/ contacts with vendors for donated services or goods
• Maintain relationships with schools and teachers that have come to the Friday screening
• Establish new relationships with schools and teachers to attend Friday morning screening
YOUTH COLLABORATION
• Ensure that the festival adheres to its mission of being youth-centered and led
• In collaboration with Media Program Director and Development and Events Coordinator, empower and guide youth festival committees to curate festival submissions, produce and MC the festival program, participate in outreach and promotional activities, and build public speaking and presentation skills
• Coordinate youth outreach, press and publicity (including youth-designed PR materials)
ADMINISTRATION
• Check and respond to email/phone messages regarding festival coordination daily
• Update and maintain festival website
• Create Press Kits
• Coordinate guest list
• Coordinate travel arrangements for guest producers
• Create Guest Packets
• Create Teacher Packets
• Coordinate ticket sales
• Coordinate printing of youth designed DIYDS Festival collateral: programs, flyers, tickets, invitations, T-shirts
• Make arrangements for venue set-up including food, tables, etc.
• Track festival expenses and ongoing budget; report to Director
• Document, save, and file details of the Festival Production, including the above tasks
• Produce and track a timeline of events, roles etc…
• Send thank yous to youth, volunteers, and in-kind contributors.
• Send packets, including DVD of festival, to all who submitted videos and were accepted

Additional Qualifications:

• Festival Coordination experience, or other similar event planning experience
• Ability to manage multiple tasks concurrently
• Ability to work effectively in a fast-paced environment
• Ability to work with communities of various cultural backgrounds
• Superior customer service & interpersonal skills
• Excellent organizational skills
• Solid work ethic and attention to detail
• Proven reliability & dependability
• Ability to work independently & as part of a team
• Common sense and a sense of humor are a must
• Bilingual candidates preferred ( especially English and: Haitian Creole, Spanish or Portuguese)
